What information do you need for an accurate freight quote?

Send the origin, destination, cargo description, carton count, dimensions, gross weight, ready date, and required delivery date. Add the HS code if known and flag batteries, liquids, powders, magnets, oversized pieces, or marketplace delivery. A forwarder can start with less, but missing details make the first price provisional.

Can I request a quote before the final carton dimensions are ready?

Yes. Share the supplier's best estimate and label it as provisional. The forwarder can compare likely modes and identify missing documents, but the chargeable weight and final price should be confirmed after packing. This is useful for budgeting; it should not be treated as a booking-ready rate.

Why did my freight quote change after the cargo was collected?

The usual causes are measured dimensions differing from the estimate, a changed ready date, a different delivery address, additional handling, or carrier capacity moving before booking. Ask for the old and new chargeable inputs side by side. A clear revision should show which shipment fact changed and which charge followed it.

What should an all-in freight quote include?

An all-in quote should name the origin charges, main freight, destination handling, customs scope, duty and tax treatment, and final delivery. It should also list exclusions such as inspections, storage, demurrage, or address corrections. Compare the scope and assumptions, not only the total printed at the bottom.

How long is a freight quote valid?

Validity depends on the carrier, mode, lane, and market. The quote should show an expiry date and state whether space is included or still subject to confirmation. If the cargo will be ready later, ask what must be rechecked before booking rather than assuming today's rate will remain available.

Can you quote if I do not know the HS code yet?

A planning quote can begin with a precise product description, material, use, and destination. Final customs and duty treatment may still depend on classification, so the HS code must be reviewed before entry. Avoid using a convenient code from a similar product without checking whether its composition and function actually match.

How should I compare quotes from different freight forwarders?

Put every quote against the same origin, destination, cargo data, Incoterm, customs scope, and delivery requirement. Then compare transit assumptions, exclusions, free-time terms, insurance, and who owns each handoff. A lower freight line is not cheaper if destination handling or delivery is missing from the scope.

What should I ask my supplier for before requesting shipping prices?

Ask for the pickup address, ready date, carton count, packed dimensions, gross weight, product description, commercial value, and available export documents. For regulated goods, request the relevant test or safety records too. Packed cargo data matters more than product-unit dimensions because freight is priced from the shipping pieces.
